This Data Tune-Up session focuses on using Enrollment Reports in HMIS to improve data accuracy, timeliness, and overall system performance. The session also reinforces monthly data monitoring as a key best practice. The following topics are covered:

  • Why timely enrollments, exits, and move-in dates matter, including how they keep active client lists accurate, ensure performance measures reflect reality, support Coordinated Entry and By-Name List accuracy, and reduce last-minute corrections before PIT, HIC, and audits

  • HMIS best practices, including running DQ reports and Enrollment Reports each month to maintain accurate, timely, and complete data

  • Overview of commonly used Enrollment Reports in ClientTrack, including HMIS Active Clients Report, Clients in Programs Report, APRs/CAPERs, and Open Enrollments

  • How APRs, CAPERs, and hashed CSV exports can be used to validate client counts, review exit data, and import into EVA for additional review

  • Helpful resources such as the Data Champion Quarterly Reference Guide and report tutorials to support ongoing learning and data cleanup
